How to complete your company onboarding for a client in the Forsite Portal.

Overview

Complete your company’s client onboarding so you can work on that client’s sites. You’ll confirm company details and upload client-required items (insurance, H&S assessment, documentation, terms). Forsite stores your insurance/certificates so you can reuse them across different clients.

1) Company details

Purpose: confirm the legal identity and contact info the client will see.

  1. Log in to the Forsite Portal.
  2. Open Onboarding (or follow the onboarding prompt on the home screen).
  3. Enter/update:
    • Company name and Legal name
    • Company address (street, suburb, city, post code, country)
    • Primary contact details (name, email, phone)
  4. Save.

Keep these accurate—clients use this information on approvals and reports.

2) Upload client requirements

Purpose: provide what this client requires from every provider.
Your client sets a single standard that all providers must meet. Complete each category below. Items you upload (e.g., insurance) are stored in Forsite and can be reused when onboarding with other clients.

A. Insurance

  • Upload policy file.
  • Enter Cover amount, Expiry date, and Policy name (e.g., Public Liability Insurance).

B. H&S Assessment (certification)

  • Upload certificate file.
  • Enter Score, Expiry, and Provider (issuer).

C. Documentation

  • Either upload a file or provide a text response (as requested by the client).

D. Terms

  • Read and agree (or Agree) to the client’s terms. Select Yes / No / N/A as required.
  • Acceptance is timestamped.

Tip: If a document already exists in Forsite (e.g., current insurance), select it to reuse instead of re-uploading.

3) Submit for approval

Purpose: send your package to the client for review.

  1. Review each item shows Complete.
  2. Click Submit for approval.
  3. Your client’s Company Admin is notified.

4) Track status & respond

Purpose: keep your onboarding current so your team can keep working.

  • Statuses include Not Started, Started, Pending Approval, Rejected, Approved, Expired.
  • If an item is declined, open it, update/fix, and resubmit.
  • On approval, the client sets an overall renewal/expiry date.
    • If an individual document (e.g., insurance) expires earlier, Forsite notifies you to replace it; the overall onboarding remains approved until the client’s renewal date.

Troubleshooting

  • I can’t find the client’s requirements → Ensure you’ve been invited/added by the client and you’re viewing the correct company in the Portal.
  • My insurance expired but onboarding still shows Approved → Expected. Replace the expired file; your overall approval follows the client’s renewal date.
  • Submission was rejected → Open the rejected item, read the notes, edit/replace, then resubmit.
  • We work with multiple clients—do we upload everything again? → No. Forsite stores your insurance/certifications; reuse them for other clients where applicable.

FAQs

Do all clients ask for the same things?
Your client sets their own standard. The categories are the same, but the specific items may vary by client.

Who approves our onboarding?
Your client’s Company Admin reviews and approves/declines your submission and sets the renewal.

Can we change company details later?
Yes—update Company details and resubmit any affected items if the client requests it.

Will we be reminded before items expire?
Yes—Forsite notifies you when individual documents are approaching expiry so you can replace them.

Do we need portal access for this?
Yes—your Admin logs into the Forsite Portal to complete onboarding and invite your team.
