Inviting your team (Service Provider)

How to invite admins and contractors, and organise teams by site in the Forsite Portal.

Overview

Invite Company Admins (Portal access) and Contractors (App access). For larger providers, use Teams to restrict who sees which client sites.

Invite your team (quick)

Purpose: add people to your company with the right access.

  1. In the Forsite Portal, go to Teams (or your company’s user management area) and click Invite user.
  2. Enter: First name, Last name, Email, Phone (optional).
  3. Invite as a:
    • Company AdminPortal access; can be set as a Key Contact for clients (receives system notifications).
    • ContractorForsite App access only. By default, sees all serviced sites (unless restricted by Teams; see below).
  4. Click Send invite. The user receives an email to join.

Teams (advanced) — organise who sees what

Purpose: for large providers who service many sites and have big teams that don’t need to see everything.

  • Without Teams: Contractors see all serviced sites.
  • With Teams: Contractors only see the sites assigned to their Team.

Create a Team

  1. Go to Teams → Create team.
  2. Name it (e.g., Auckland Team). Save.

Add staff to a Team

  1. Open the Team.
  2. Click Add members, select the staff to include. Save.

Assign a Team to sites

  1. In the Team, click Assign sites.
  2. In the dialogue: Select client companySelect sites. Save.

Result: Contractors in this Team will only see the assigned sites. Anyone not in a Team still sees all serviced sites.

Troubleshooting

  • New contractor can’t see any sites
    • If they’re in a Team, ensure the Team is assigned to the correct client sites.
    • If they’re not in a Team, confirm your company is servicing sites for that client.
  • Admin isn’t receiving client notifications
    • Mark them as a Key Contact against that client.
  • Invite email not received
    • Ask the user to check spam; confirm the email; resend invite.

FAQs

What’s the difference between Company Admin and Contractor?
Company Admin has Portal access and can be a Key Contact for client communications. Contractor has App access only.

Do I have to use Teams?
No. Teams are optional. They’re useful when you need to restrict visibility to specific client sites.

If I move someone into a Team later, what happens?
Their site visibility changes to only the sites assigned to that Team.

Can I change someone’s role after inviting them?
Yes—edit the user and switch Contractor ↔ Company Admin as needed.
