Configure Service Provider Onboarding (requirements)

How to set onboarding requirements that all providers must complete.

Overview

Define client-wide onboarding requirements once for your company. All Service Providers complete the same onboarding against your company before working on your sites.

Where to configure

Purpose: set the single standard all providers must meet.

  • Go to Companies → Onboarding Settings.
  • Configure the requirements your providers must submit to your company.

Requirement types & fields (client-wide)

Purpose: capture the compliance you need from every provider.

  1. Insurance
    • Fields: File, Cover amount, Expiry, Name.
  2. H&S Assessment (certification)
    • Fields: File, Score, Expiry, Provider.
  3. Documentation
    • Fields: Upload file or Text response.
  4. Terms
    • Action: Read and agree or Agree (Yes / No / N/A).
    • System records an accepted date on submission.

These settings apply to every provider you work with.

Provider experience & reminders

Purpose: ensure providers complete onboarding promptly.

  1. When you add a provider (or assign them to your sites), they receive an invitation to the Forsite Portal.
  2. To chase up: on Companies, select provider(s)Send Reminder Email → choose a preset.

Review, approval, and renewal

Purpose: control who is approved to work and keep compliance current.

  1. Providers submit their onboarding package against your client requirements.
  2. Company Admin reviews and Approves or Declines each submission.
  3. Set a renewal/expiry date for the overall onboarding approval.
    • You can align renewal to a key document (e.g., PLI).
    • If any individual document expires between renewals, the provider is notified to replace it; this does not expire the overall onboarding.

Statuses & filtering (Companies page)

Purpose: quickly find who needs follow-up.

  • Statuses: Not Started, Started, Pending Approval, Rejected, Approved, Expired.
  • Use Show Filters to filter by status (e.g., Not Started) and send a Reminder Email to the filtered list.

Troubleshooting

  • Provider says they can’t see requirements → Ensure they were added and have an active Portal login.
  • Reminders not received → Confirm the Key Contact (Admin) is set for that provider; resend using Send Reminder Email.
  • Submission looks incomplete → ask the provider to complete missing fields/files, resend using Send Reminder Email.
  • Onboarding shows Approved but a document expired → Expected; the provider is notified to replace that document. The overall approval follows the renewal date you set.

FAQs

Are onboarding requirements site-specific?
No—onboarding is set by the client company and applies to all providers you work with.

Who approves provider onboarding?
Your Company Admin reviews submissions and sets the renewal/expiry.

Can we waive a requirement?
Follow your policy. You may approve with notes and set an earlier renewal date if a temporary waiver is granted.

Do Onboarding reminder emails send automatically?
No. From Companies, select providers and click Send Reminder Email; choose a preset. The sender is CC’d.
