Manage your providers

How to manage sites, key contacts, contractors, and shared documents for each provider.

Overview

From Companies, select a Service Provider to manage their site access, key contacts, contractors and inductions, and shared documents.

Add or remove a provider from sites

Purpose: control which sites this provider can see and service.

  1. Go to Companies → [Provider] → Site Access.
  2. Add or Remove sites (multi-select).
  3. Save.

Providers only see and interact with the sites you grant here.

Assign key contacts (who receives notifications)

Purpose: route all system emails for this provider to the right person.

  1. In Companies → [Provider] → Teams, select or add an Admin for the provider.
  2. Mark them as a Key Contact (Admin).
    • System-generated notifications/emails for this provider will be sent to their Admin(s).

View contractors & induction status (for your sites)

Purpose: see which workers from this provider are cleared to work on your sites.

  1. Open Companies → [Provider] → Contractors.
  2. View each contractor’s induction status for the sites you manage.
  3. Use filters/search to find specific workers.

Company documents (shared between companies)

Purpose: view documents the provider has shared with your company (and vice versa).

  1. Go to Companies → [Provider] → Documents.
  2. View/download shared documents (e.g., insurance certificates, policies).
    • These are shared between companies for visibility.

Troubleshooting

  • Provider can’t see a site → Add the site under Site Access and Save.
  • Notifications going to the wrong person → Update Key Contacts under Teams for that provider.
  • Can’t find a contractor → Check you’re viewing the correct provider and use Search; contractor must be linked to the provider.
  • Missing documents → Ask the provider’s Admin to upload/share in their Documents area.

FAQs

Who receives system emails for a provider?
The provider’s Admin listed as a Key Contact (set in Teams) receives system-generated emails; the sender is CC’d on reminder emails.

Does removing a site revoke access immediately?
Yes—once you Save, the provider loses visibility and interaction rights for that site. All documentation related to that Provider is retained
