Actioning permit requests (Service Provider)

How to action permit requests in the Portal: complete a permit for a worker or assign it to them in the app.

Overview

From the Permits page in the Forsite Portal you can handle incoming permit requests in two ways:

  • Complete Permit Request – you (Provider Admin) fill in and submit the permit on behalf of your worker.
  • Assign Permit Holder – you pick the worker; they receive a notification and complete the permit in the Contractor App.

Where to action permits

  1. Log in to the Portal → Permits.
  2. Open the permit request.
  3. Choose one of the options below.

Option 1 — Complete Permit Request (you submit on behalf of the worker)

Best for urgent permits or when you have all the information to hand.

  1. Click Complete Permit Request.
  2. Fill out the permit form (scope, dates/times, risk controls, attachments).
  3. Select (or confirm) the Permit Holder (the worker who will do the job).
  4. Submit. The client/site FM is notified for approval.

What happens next

  • The request moves to Approval with the client/site FM.
  • If Approved, it becomes Valid for the stated time window.
  • The Permit Holder may have “while-active” items to complete on site (acknowledgements, checks).

Option 2 — Assign Permit Holder (worker completes in the app)

Best when the worker needs to provide job specifics or on-site details.

  1. Click Assign Permit Holder.
  2. Choose the worker (Permit Holder).
  3. Confirm to notify them.
    • The worker gets an in-app task to complete the permit (they’ll enter job details, confirm controls, attach photos, etc.).
  4. You can monitor status back on the Permits page.

What happens next

  • After the worker submits, the request moves to Approval with the client/site FM.
  • If Approved, it becomes Valid for the permit window.

How permits work (quick lifecycle for Providers & Permit Holders)

  • Apply / Request
    A permit request comes in (from your worker or the client). Open it on the Permits page.
  • Complete or Assign
    Either Complete Permit Request yourself (you fill the form) or Assign Permit Holder so your worker completes it in the app.
  • Client Approval
    The client/site FM reviews and approves or declines. You’ll see the status in the Portal.
  • Valid (job in progress)
    Once approved, the permit is live for the approved time window.
    Typical things your worker may need to record while working:
    • Testing records (e.g., gas test results, isolation checks)
    • Acknowledgements (risk controls followed)
    • Photos/notes (before/after, set-up checks)
  • Extension (if the job runs longer)
    Request an extension before the permit expires.
  • Close-out (if required by the client)
    Some permits need end-of-job records (e.g., Fire Watch records, reinstatement checks).
    This close-out status is mainly for the client’s process — suppliers usually don’t need to manage the final status beyond providing any required records.

Troubleshooting

  • Worker can’t see the assigned permit in the app
    • Confirm you used Assign Permit Holder and picked the correct worker; ask them to refresh the app and check their tasks.
  • Client hasn’t approved yet
    • Status remains Pending until the client/site FM approves. If urgent, contact the client approver.
  • Permit expired before the job finished
    • Request an Extension while the permit is valid, or submit a new permit if it has already expired.
  • Wrong worker listed
    • Reopen the request and reassign the Permit Holder before approval.

FAQs

When should I complete the permit myself vs assign it to a worker?
If you already have the job details and controls, use Complete Permit Request. If the worker needs to add specifics or on-site photos, use Assign Permit Holder so they finish it in the app.

Who approves the permit?
The client/site FM (issuer) approves or declines. You’ll see status updates in the Portal.

What happens after approval?
The permit becomes Valid for the approved time window. The Permit Holder may need to complete while-active checks on site; when the job is done, mark as complete or request an extension.

Do workers get notified?Yes. When you assign a permit, the worker is notified in the Contractor App; when permits are approved/declined, the receiver is notified as well.
