Assign templates to your sites

How to assign published induction, permit, and audit templates to sites so the right people see them.

Overview

A published template does nothing until it is assigned. Assigning connects a template to the sites where it applies, so workers are prompted for the induction, can apply for the permit, or the audit can be completed there.

Steps

  1. Open Templates
    • Go to Templates. Templates are organised into category folders: Inductions, Permits, and Audits. The page opens on Inductions, so switch folders if needed.
  2. Select the template
    • Find the published template you want to assign and open Manage.
  3. Choose sites
    • Select the sites the template applies to. You can assign one template to many sites.
  4. Save
    • The assignment takes effect immediately for the selected sites.
  5. Verify
    • Spot-check one site: workers assigned to it should see the induction in the app, the permit should be available to apply for, or the audit should be available to complete.

Troubleshooting

  • My template is not in the list → Drafts cannot be assigned. Publish the template first, and check you are in the right category folder.
  • Workers still do not see the induction → Confirm they are assigned to the site itself, and that they are looking at the right company in the app.
  • A permit shows on a site it should not → Open the template's Manage view and remove that site from the assignment. Note permit per-site charges follow active sites.

FAQs

Can I assign one template to all my sites at once?
Yes. Select all sites in the assignment picker.

What happens when I unassign a template?
It stops being offered on that site. Historical completions remain on record.

Do I assign templates to people or to sites?
To sites. People get them through their site assignments, which keeps requirements consistent for everyone on a site.
