Create check-in QR codes and zones

How to add check-in QR codes and zones to a site, download and print their posters, and what workers see when they scan them in the Forsite App.

Overview

Check-in QR codes let workers check in by scanning a poster in the Forsite App, without relying on the site's geofence. They suit sites set to No Location Required, and workers whose phones don't share their location. For those workers, the App's Home screen is a QR scanner. Zones split a site into work areas. Each zone's QR code opens a form or document but doesn't check anyone in.

Steps

  1. Open QR Codes
    • Go to Sites and select the site. Under Administration in the sidebar, open Access Points and choose QR Codes.
  2. Add a check-in code
    • Click Add Check-In Code, enter a Name such as "Main Gate" and an optional Description, then click Create.
    • A site can have up to three, one per entrance.
  3. Create zones
    • Under Access Points, choose Areas & Zones and click + Create Zone.
    • Enter a Zone Name. Under Zone Form, attach a PDF, JPEG or PNG, or tick Enter a URL and paste a link, then click Create Zone. The zone gets its QR code straight away.
  4. Download and print the posters
    • On QR Codes, click Download on a code for an A4 poster. To get them all, click Download All, choose QR code with styling (printable poster) or QR code only (no styling), and click Download.
    • Put each check-in poster at the entrance it's named for, and each zone poster where workers go into that area.
  5. Set the location rule (optional)
    • In Site Settings under Administration, click Edit, choose No Location Required under Location Setting and click Save changes.
    • QR check-in works whichever option you choose.

What workers see

  • Workers scan with the yellow QR button in the Forsite App.
  • A check-in code brings up Check in? with the site name. After Check In, the App runs the site's normal check-in steps, such as the induction and hazards.
  • A zone code shows the zone name with Open form or View document.

Troubleshooting

  • QR Codes or Areas & Zones is greyed out, or Access Points is missing → Greyed out means your company may not have that feature switched on, so contact Forsite support. Missing means your role doesn't include site settings, so ask your Company Administrator.
  • Add Check-In Code is no longer showing → The site already has three check-in codes, the most allowed. Check-in codes can't be deleted from this page, so contact Forsite support if you need to replace one.
  • Scanning a poster opens the App Store or Google Play → The worker used the phone's camera app. Ask them to install the Forsite App, sign in, and scan with the QR button in the App.
  • A zone poster scans as "This QR code isn't a Forsite QR." → The zone has nothing attached yet, and shows No content assigned yet on QR Codes. In Areas & Zones, click Manage on the zone, add a Zone Form and click Save Zone. You don't need to reprint the poster.

FAQs

Can a worker check in if their company isn't set up on the site?
Usually. When they scan a check-in code, the App offers Add & Check In, which adds their company to the site as a service provider and notifies the site's managers. If their company is already on the site but they don't have access themselves, the App tells them to ask their administrator.

How do workers without location sharing check out?
They scan the site's QR code again. While they're checked in, the App's Home screen shows the site name and a scanner with that reminder.

Where else do zones show up?
In the App's check-in steps. Workers see Select any zones you are here to work in and tap the areas they'll be working in.
